How to run an event


From Vietnam to Sweden, Hong Kong to New York, we’ve helped many businesses screen the films at events to raise awareness of nature loss with colleagues, clients and suppliers. Some companies have run one event, and some have run many in different offices throughout the world. Some events are kept deliberately small for key stakeholders and individual departments, whereas others are larger and designed to unite an industry or diverse groups of colleagues from multiple geographies.
Showing our films in a virtual or physical setting is a great way to raise awareness within your workplace and to brainstorm areas where your business can get involved. There are many ways to set up your event depending on your audience and their level of knowledge on the topic. It’s a good chance to share plans for future work and celebrate your successes as an organisation so far. Try to allow as much time as you can for questions and a discussion at the end. Popular event structures

 
Whether’s it’s a virtual or a physical event, most events tend to follow this type of format. Note that the timings are approximate and should be adjusted to fit your event and according to which of our films you will be screening. Where possible, add experts and involve your colleagues through a Q&A, brainstorm or workshop at the end. If you are providing food at your event, we recommend using a plant-based menu and that you don’t use single-use items.  
 

Lunch & Learn [1-1.5 hrs]

  • Welcome and intro from the host company [5 mins]
  • Intro to the film from WWF or other expert [5 mins]
  • Screen the film [~40 min or ~7 min summary version]
  • A panel discussion with key experts and CSR rep [30 mins]
  • Q&A with audience [20 mins]
  • Wrap up [2 mins]  

Add a deep dive [30 mins]

If an issue is particularly relevant to your business, there are further films and resources available on the Our Planet website that are useful for deep-dive discussions. Theme ideas include: Climate, Deforestation, Sustainable Agriculture, Ocean Health, Going Circular, sustainable finance.   
For a small number of events we may be able to provide WWF expert speakers. Please contact us if you would like to request an expert speaker.  

Add a workshop [30 mins]

A workshop is a powerful way to drive change within your business. Many virtual conference software platforms have break-out rooms to also facilitate this.
We recommend splitting people into groups of 5-10 and giving groups 10 minutes to brainstorm answers. 
Example questions:  
What are the risks to our business from a changing planet? What impact does our business have on the planet? How can our business look to minimise these risks or our impact?

Virtual events can be organised with the technology that is normally used for video conferencing – whether that’s Zoom, Webex, BlueJeans, or whichever system you currently use and would be familiar to your colleagues. 
If you’re worried about bandwidth issues, your colleagues can watch the full film in advance of the event at a time that suits them. You can then invite everyone together for the virtual Q&A or panel discussion afterwards. If you do this, we recommend showing the shorter versions (5-8 minutes) of the films at the start of your event to ensure all colleagues are up-to-speed and can participate.
Think about gathering questions in advance to help guide your Q&A on the day. You can record the pre-film intro and the discussion afterwards (providing your speakers are happy to be filmed) but please do not include the film in your recording.
